LeAnne Coulter, Executive Coach

    Legal

    Privacy Policy

    Effective date: September 14, 2026

This policy explains what information LeAnne Coulter ("we," "us") collects through leannecoulter.com, why, who we share it with, and what you can ask us to do about it.

Coaching runs on trust, and confidentiality is central to the work. This policy covers the website. There is a separate section below on coaching confidentiality, because what happens inside an engagement is governed by more than a privacy policy.

We do not sell your personal information and we do not run advertising on this site.

    Information you give us

Our forms and our scheduler may ask for your name, email address, phone number, organization, role, and a short description of what you are working on or would like to discuss. If someone else is sponsoring the coaching, such as your employer, we may ask who that is.

If you book a conversation through our scheduling page, we receive the details you enter along with the date and time you chose.

If you email or call, we keep that correspondence.

Fields marked optional can be left blank.

    Information collected automatically

When you visit, we and our service providers collect standard technical information: IP address, browser and device type, pages viewed, time on page, and the site or search that referred you.

We use strictly necessary cookies to make the site and its forms work, and analytics cookies to understand which pages are useful. You can block or delete cookies in your browser. We do not use cookies for advertising and we do not track you across other sites.

    Why we use your information

To respond to your inquiry, to schedule and prepare for a conversation, to send you something you asked for, to understand how the site is used so we can improve it, to keep the site secure, and to meet legal and record keeping obligations.

An inquiry through this site does not put you on a marketing list.

    Coaching confidentiality

This section is not standard website language. It is here because you deserve to know it before you fill in a form.

Conversations are confidential. What you say in a coaching session stays in the session. We do not repeat it to your employer, your sponsor, your board, or anyone else.

Assessment and interview information is handled with particular care. Where an engagement includes structured stakeholder interviews or a verbal 360, the people we interview are told how their input will be used before they speak. What goes back to the person being coached is synthesized into themes, not attributed quotes, so that individual contributors are not identifiable.

When an employer is paying, they still do not get the content. A sponsoring organization may receive confirmation that the engagement is happening, attendance and scheduling logistics, and at most a high level summary of goal areas agreed in advance with the person being coached. They do not receive session content, assessment results, or anything said in confidence. If a sponsor asks for more, we say no.

The limits. Confidentiality ends where the law does. We may have to disclose information if we are legally compelled to, or if there is a serious risk of harm to you or someone else.

Coaching notes. We keep brief working notes so sessions build on each other rather than restarting. They are kept securely, they are not shared, and they are deleted within one year of the engagement ending unless you ask us to keep them longer or the law requires it.

Your coaching agreement is the controlling document for the engagement itself. If anything in it conflicts with this website policy, the agreement governs.

    Who we share it with

We share information only with the service providers that operate this practice, and only so they can perform their function. As of the effective date these include:

HighLevel, which provides website hosting, forms, customer relationship management, scheduling, and email delivery.

    Microsoft, which provides business email.

Google, which provides analytics and search performance measurement.

Cloudflare, which delivers site content and provides security and performance services through our hosting provider.

We may also disclose information where legally required, where we need to protect our rights or someone's safety, or in connection with a sale or reorganization of the practice.

We do not sell personal information and have never done so.

AI tools, and where they are not used

AI tools are part of how this business runs. They are used for research, market and industry analysis, business development, go to market materials, and drafting content such as articles, presentations, and marketing copy. None of that work involves your information.

Coaching material is handled differently and is deliberately kept out of general AI tools. Session notes, anything you said in confidence, stakeholder interview input, and assessment results are not entered into AI tools for summarizing, analysis, or drafting.

Where AI assistance touches coaching work at all, it is limited to preparation that contains nothing about you. Background reading on a leadership topic, or a first draft of a generic exercise or framework that is then adapted by hand, are examples of that limit.

If this ever changes, this section changes first, and current clients will hear about it before it does.

    Where your information is processed

We operate from the United States and our providers process information in the United States. If you contact us from elsewhere, your information is being sent to the United States. See the section on the European Economic Area and the United Kingdom below.

    How long we keep it

Inquiry and correspondence records are kept for up to three years after our last substantive contact. Coaching notes follow the one year rule described above. Records needed for tax, accounting, or legal purposes are kept as long as required.

    Your choices and your rights

Wherever you live, you may ask us to tell you what we hold about you, give you a copy, correct it, delete it, or stop emailing you.

Email LeAnne@leannecoulter.com with the word Privacy in the subject line. We respond within 45 days, and we will tell you if we need longer and why.

We may verify your identity first, and we may decline deletion where we are required to keep a record. If we decline any part of a request, we will explain why. Exercising these rights costs you nothing and changes nothing about how we treat you.

We honor the Global Privacy Control signal where our providers support it.

If you are in the European Economic Area or the United Kingdom

Our legal bases are your consent, for analytics cookies and any optional email, which you may withdraw at any time; our legitimate interests, in responding to inquiries, securing the site, and measuring site use; the performance of a contract, where you are a coaching client or becoming one; and legal obligation where a law requires it.

You may also object to processing based on legitimate interests, ask us to restrict processing, request a portable copy of your data, and complain to your national supervisory authority. We respond within one month.

    Security

We use encrypted connections, access controls, and reputable providers. No system is perfectly secure, and we cannot guarantee absolute security. If a breach affects your personal information we will notify you and any required authority as the law requires.

    Children

This site is intended for working professionals. We do not direct it to children and we do not knowingly collect information from anyone under 16.

    Other websites

This site links to third party sites, including our scheduling page and sites we reference. Their privacy practices are their own. Please read their policies.

    Changes to this policy

If we change this policy we will update the effective date. If a change materially affects information you already gave us, we will make a reasonable effort to tell you.
